Key Responsibilities
People and Employee Support
Coordinate recruitment activities, including job postings, applicant tracking, interview scheduling and candidate communications.
Support new employee onboarding and orientation, including required forms, system access, training and introductory activities.
Maintain accurate employee records, personnel files and related documentation.
Assist with benefits, retirement plan and group insurance administration, including employee communications and record maintenance.
Support employee lifecycle processes, including role changes, leaves and departures.
Coordinate internal training, professional development activities and required documentation.
Assist with policy administration, annual acknowledgements and employee communications.
Support employee engagement activities, Firm events and other Internal Support initiatives.
Handle employee information with professionalism, discretion and confidentiality.
Operational and Client Service Support
Support administrative and operational processes that help client service teams deliver services efficiently and consistently.
Coordinate and maintain client onboarding, setup, authorization, compliance and related activities as assigned.
Assist with the administration and oversight of Firm programs, initiatives and service offerings, which may include OBR, Audit Shield or other programs as needs evolve.
Prepare, organize and maintain documentation, records, trackers and workflows supporting client and Firm operations.
Coordinate information gathering, status tracking, follow-up and communication across departments and stakeholders.
Maintain accurate information within applicable databases, document management and practice management systems.
Help ensure assigned processes and program requirements are completed accurately, consistently and on a timely basis.
Identify opportunities to improve, standardize or automate administrative and operational processes.
Internal Operations and Administration
Provide administrative and project support to the Internal Support team and Firm leadership.
Assist with workflow coordination, process documentation and the maintenance of internal procedures.
Maintain internal databases, trackers, forms and records.
Coordinate meetings, training sessions, internal events and related materials.
Support operational reporting, information requests and follow-up activities.
Assist with the rollout and ongoing administration of Firm systems, tools and process improvements.
Contribute to special projects and continuous improvement initiatives that strengthen service delivery and reduce administrative effort for client service teams.
Support the administration of Firm programs, workflows, systems and strategic initiatives as assigned.
Provide support in other areas of internal operations as Firm needs evolve.
Qualifications and Experience
Post-secondary education in Business Administration, Human Resources, Office Administration or a related field.
Two or more years of relevant experience in administration, operations, human resources or professional services.
Experience in public accounting or another professional services environment is considered an asset.
Working knowledge of employment standards and the handling of confidential employee information is considered an asset.
Strong proficiency with Microsoft 365 applications, including Word, Excel, Outlook and Teams.
Experience with HRIS, applicant tracking, document management, practice management or CRM systems is considered an asset.

Application Information
The expected salary range for this position is $60,000 to $75,000 annually. The successful candidate’s starting salary will be determined based on experience, qualifications and internal equity.
