We are looking for an Front Desk Administrator to join our Internal Client Service team — a role where your expertise will drive meaningful outcomes and your ambition will help shape what comes next. Your Role:

  • Greeting & Welcoming: Professionally greet clients, visitors, and staff, creating a warm and inviting atmosphere.
  • Phone Management: Answer and route calls promptly, take accurate messages, and ensure timely delivery.
  • Client Assistance: Support clients with scheduling, inquiries, and general information, delivering exceptional service.
  • Appointment Coordination: Schedule and manage appointments efficiently, maintaining an organized calendar.
  • Office Operations: Oversee office organization, manage mail and deliveries, and maintain adequate supplies.
  • Communication Liaison: Act as the central point for internal and external communication, ensuring accurate and timely information flow.
  • Administrative Support: Provide clerical assistance, including document preparation, filing, and data entry.
  • Confidentiality: Safeguard sensitive information and adhere to data protection policies.
  • Issue Resolution: Address client concerns professionally and escalate when necessary.
  • Team Collaboration: Work closely with colleagues to ensure smooth operations and provide support as needed.

What you bring to the table:

  • Post-secondary diploma or degree.
  • Minimum 3-5 year’s work experience in a professional services work environment in a similar role. Customer facing client service experience is considered an asset.
  • Familiarity with Caseware, Caseview and Doc-It would be an asset as is familiarity with accounting terminology.
  • Excellent verbal and written communication skills, with a professional and friendly demeanor.
  • Strong organizational and time management abilities.
  • Ability to handle multiple tasks simultaneously, prioritize effectively, and work well under pressure.
  • Discretion and ability to maintain confidentiality when dealing with sensitive information.
  • Strong attention to detail and accuracy.
  • Proficient in using Microsoft Office software, including Excel, Word, PowerPoint, and Outlook.
